2025-2026 LEADERSHIP ROLES
The Raintree Rapids Leadership Committee is organized as an unincorporated booster club, run by parents for the purposes of financially supporting athletes and coaches by fundraising and volunteer coordination. This committee replaced the historically singular role of “parent rep” in 2023. It is composed of seven voting committee members:
Parent Representative, GRAL Representative, Meet Director, Treasurer, Team Apparel Chair, Sponsorship Chair, and the Special Event Chair, as well as ex-officio committee members including: all Sub Committee Coordinators, RSRC Owner/Manager, and the Head Swim Coach(s).
Parent Representative - Confirms leadership positions are filled and holds pre-season meetings and other necessary meetings and communications with the Leadership Committee (Committee). Monitors registration with volunteer and website coordinators. Communicates team memberships and registration dates, NOVA spring clinic information, and other team event information to team, including posting useful updates on Raintree Rapids Website / Social Media. Facilitates a new parent meeting and assists coaches in communicating with parents of new swimmers. Sends welcome letter to visiting teams for home meets and forwards the hosting team’s letter out to Raintree Rapids team for away meets. Speaks with coaches regularly. Makes decisions with other team’s parent rep, meet director, and pool management during inclement weather and communicates with team. GRAL Representative - Officially designated League Representative of RSRC to the GRAL Board of Directors. First line of communication between GRAL, RSRC, and committee. Attends GRAL board meetings, votes for RSRC on issues presented before the membership, presents issues for discussion identified by RSRC at the GRAL Board meetings. Reports back to RSRC and committee about the proceedings at the GRAL Board meetings. Assures League Rules and procedures are being followed and brings a copy of the current GRAL Handbook to each meet. Submits initial dues, swimmer fees, and pool certificate of insurance for RSRC. Submits any grievances on behalf of RSRC as deemed necessary by the Parent Rep within 48 hours of the completion of a regular season meet. Contact: Cindy Anderson
Meet Director - Coordinates with Pool Management to set up home swim meets. Liaison between Referee, Computer Rep, Head Table, Head Clerk of Course, Volunteer Check-In, Announcer, Coaches, RSRC Grill and Pool Manager throughout home meets. Responsible for maintaining the meet schedule. Verifies all Parent Volunteers are in place before each meet half. Arranges set-up, maintains audio equipment, and starter. Solicits and organizes announcements, including lane sponsors, to be made throughout the meet. Measures pool depth prior to each home meet. Completes GRAL Meet Cover Sheet. Coordinates Senior Send Offs with parents and coaches. Schedules swimmers to sing National Anthem at each home meet. Maintains appropriate number of working stopwatches and ensures they are transported to away meets. Ensures starter is in working order and charged prior to each meet and is transported to each away meet. Makes decisions with parent rep and pool management during inclement weather. Treasurer - Manages the team finances, including budget preparation and financial reporting. Reimburses funds spent by members and obtains petty cash for fundraisers, special events, and home swim meets if needed. At year-end coordinate getting annual financials to RSRC treasurer/owner/manager. Makes purchases of new equipment or items deemed necessary by Committee vote with RSRC Owner/Manager approval. Awards and accounts for coaches’ end of year bonuses and coordinates collections for coaches' gifts. Works closely with Parent Rep and Sponsorship, Apparel, and Special Events Coordinators. Helpful to have a working knowledge of QuickBooks online. Coordinates with Champs Coordinator and GRAL Rep to make sure checks are issued in February (GRAL Dues), June (swimmer fees), and July (Champs fees). Contact: Amanda Bridon
Team Apparel Chair- Confirms team suits and fitting date, cap availability, coaches shirts, and ordering deadlines with Virginia Swim Shop located at NOVA. Collaborates with Parent Rep and Special Event Coordinator for Meet the Coaches Night. Solicits designs from Junior & Senior Swimmers for yearly Team Shirts, presents designs to Committee for design vote, arranges printing (Currently Corporate Imprints), ordering, and distribution of Team Shirts. Connects with the appropriate company to identify branded spirit wear offerings for the swim team (Image Designers through 2021). Communicates the items offered to the swim team families, collects payment, and distributes the spirit wear. Collaborates with the Treasurer for spirit wear. Contact: Kevin Schellenberg
Sponsorship Chair- Act as a liaison between sponsors and Committee. Develop sponsorship proposals to send to different organizations in order to solicit new and returning sponsorships, communicate with sponsors to explain the need for sponsorships and their benefits, present banner and logo advertising fees and visibility statistics. Facilitate banner printing and hanging/removal at meets. Collaborate with Parent Rep, RSRC Owner/Manager, Team Apparel Coordinator, and Special Event Chair. (VACANT)
Special Event Chair- Manages and updates team website and social media. Coordinates and plans various spirit activities for swimmers including but not limited to: Meet the Coaches, Ice Cream Social Kick-Off Event, FUN Days, Team Tie-Dye Day, Team Movie Day, Spirit Nights, Swim-A-Thon, Casino Night/Gala, Parents’ Night Out, and Awards Banquet. Meet Sub Committee:
Volunteer Coordinator - Schedules and ensures all volunteer positions are covered for all meets. Makes requests for volunteers if not all volunteer positions are filled for each meet. Makes labels for all volunteer shifts. Arrives at the pool by 4:15 to check in volunteers and swimmers. Distributes Meal Vouchers to lifeguards and designated visiting team representatives. Reports to the Meet Director to let him/her know if all volunteers have checked in. Contact: Courtney Turnbull
Certified Worker Coordinator - Works with the GRAL VP of Officials and performs any/all administrative duties assigned. Manages any required testing of meet officials and keeps records of work schedules and testing to ensure certification. Responsible for ensuring meet shift coverage for Certified Officials. This includes advance planning, and scheduling all Certified Officials for each swim meet during the season. Contact: Robyn Timmons
Champs Coordinator - Responsible for all GRAL Champs requirements, including organizing parent volunteers for Champs meet jobs assigned to RSRC by GRAL and managing Champs-related payments from RSRC to GRAL, creating a RSRC ad for the Champs heat sheet, and delivering RSRC banner to GRAL to be hung at the meet facility. Attends and facilitates Champs swimmer registration with the coaches. Coordinates with Team Apparel Chair for Champs t-shirt/jersey and cap for all RSRC Champs qualifiers for purchase by qualifiers. Works with the Treasurer to determine Champs fee structure. Organizes a spirit breakfast for Champs qualifiers. Must be at the Champs meet for at least one day of competition, and designate a RSRC point person for the other day(s) of competition. Contact: Emily Meeks
Special Event Sub Committee Coordinators:
Awards Ceremony Coordinator- Coordinates with trophy/metal vendor and coaches for purchase of team and special trophies. Coordinates with Special Events Coordinator to use any leftover drinks, chips, condiments and paper goods before placing catering order to keep within budget. Places food order with restaurant at least one week before party. Purchases additional desserts, paper goods, and/or drinks through RSRC. Arranges “Sign- Up” for pot-luck style events or payment if catering is selected. Additional parent volunteers will sign up on the team website to help with this event. Oversees coaches’ writing of “Thank You” notes to certified officials. Contact: Sam Simpson
Swim-A-Thon Coordinator - Responsible for coordinating and planning the Swim-A-Thon and the team breakfast provided for all participants. Additional parent volunteers will sign up on the team website to help with these events. Acts as the liaison between the swim team and the Treasurer, advertises the event to the members of RSRC, supplies event information to the parents of the participants, works with the coaches to set a swimmer schedule, creates a sign up schedule for parents to count/supervise, purchases (with team funds) the food/materials needed for the breakfast, organizes the volunteers who help with the cooking/serving at the breakfast, signs off on high school community service sheets when applicable, and collects the funds from swimmers. Community Fundraising & Events Coordinator - The Community Fundraising & Events Coordinator plans, organizes, and executes multiple team fundraising events throughout the swim season, including auction baskets and in-season spirit night fundraisers. This role focuses on event logistics, promotion, and coordination with key stakeholders to ensure successful fundraising outcomes. Contact: VACANT
